The Space Sciences Laboratory at UC Berkeley has two Work-Study openings for undergraduate Administrative Assistants to provide administrative support, assist with event planning, and update and maintain office-related databases.
Duties: The following duties can also be expanded in some cases based on your interests and/or strengths:
  • Administrative support: Perform advanced word processing presentation tasks, data entry, reporting, memos, and email communications. Determine need for general office equipment and supplies. Participates as an SSL team member in ad hoc committees, as necessary. Assist in the scanning and digitization of documents from past SSL projects.
  • Clerical support: includes incoming and outgoing mail processing, maintaining the common areas in the lab, managing and ordering inventory and maintaining stock room,  reconciling cash payments, and other duties as needed.
  • Event planning: Assistance includes logistics such as email invitations and reminders, event registration, reception planning, reservations, creating forms, and creating name tags. Provide on-site assistance for team meetings and catered lunches, if needed.
  • Writing: Assist with developing short articles of annual print magazine, monthly e-Newsletter.

  • Must qualify for Work-Study
  • Previous administrative experience preferred
  • Communication and attention to detail is the most important qualification to this position, as you will be working in a team, writing/proofing acknowledgements, updating data, and following detailed instructions. Accuracy is essential
  • Self-starter and understands priorities may shift
  • Excellent verbal and written communication skills, active listening, critical thinking, multi-task and time management skills.
  • Computer proficient within MS Suite, Google Suite and Adobe Acrobat
  • Ability to keep information confidential
  • Must have proficiency with Adobe Acrobat Pro
  • Must have experience working with Windows explorer and/or macOS Finder
  • Must have the ability to quickly work with completion of assigned tasks, close attention to detail, and work independently without close supervision.
  • Must be comfortable organizing large numbers of documents both analog and digital
  • Must have physical capacity to carry 25lbs a short distance
  • Must be available to work at least 15 hours per week (ideal working hours will be 20 hours/week)
